The Clerk of the Board is responsible for keeping accurate minutes and maintaining Board records for each Board of County Commissioner (BCC) and Value Adjustment Board (VAB) meeting. In addition, every 4 years, the Clerk of the Board office provides staff support to the Charter Review Commission (CRC) appointed by the BCC. Approval of Amendment No. 6, Contract Y19-1004, Security Monthly Monitoring, Annual Test, Inspection, Equipment Installation and Repair Services, with J. Lane Enterprises dba Lane Electronics & Alarm Systems Inc., in the amount of $49,573 for a revised estimated contract amount of $286,139.72. PROCUREMENT:

This amendment will add support services for installation of cellular monitoring and annual inspection at Barnett Park, Recreation Center/Administration Building, Deputy J.S. Pine Community Park, concession, restroom, and storage building, Dr. Phillips Ballfield Complex maintenance building, and Magnolia Park Eco Center. Additionally, the amendment extends the contract from August 31, 2024, through December 31, 2024 and adds funding to support the extended period, while a new procurement process is complete.  The resolicitation will be issued in August, 2024.

FUNDING:

Funding is available in account number 1050-068-1801-3197.

 

APPROVALS:

The Parks and Recreation Division concurs with this recommendation.

REMARKS:

On April 9, 2019, the Board authorized award of Invitation for Bids Y19-1004 to J. Lane Enterprises dba Lane Electronics & Alarm Systems Inc., in the amount of $186,567, for a three-year term with two additional one-year renewals.  J. Lane Enterprises dba Lane Electronics & Alarm Systems Inc. is currently providing satisfactory services for security monitoring services.

 

Previous contract amendments are as follows:

Amendment No. 1: Added Graphics Administration with an increase of $1,533. The contract total increased from $186,567 to $188,100.

Amendment No. 2: Renewed the contract from May 1, 2022, through April 30, 2023. The contract total remained unchanged.

Amendment No. 3: Removed several sites from land line monthly monitoring and added them to cellular monthly monitoring and added amounts to parts actual cost with percent, shipping then added funding for other divisions to use, for an increase of $21,161.72, for a revised estimated contract amount of $209,261.72.

Amendment No. 4: Renewed the contract from May 1, 2023, through April 30, 2024. The contract total remained unchanged.

Amendment No. 5: Extended the contract term from May 1, 2024, through August 31, 2024, to allow time to receive all solicitation documents from the department for the new solicitation and fund this extension with an increase of $27,305. The revised estimated contract total is $236,566.72.
