The Clerk of the Board is responsible for keeping accurate minutes and maintaining Board records for each Board of County Commissioner (BCC) and Value Adjustment Board (VAB) meeting. In addition, every 4 years, the Clerk of the Board office provides staff support to the Charter Review Commission (CRC) appointed by the BCC. Please contact our office if you need an accessible version of documents on this page, and one will be provided.

PROCUREMENT:

This change order will extend the period of service from October 1, 2024 to January 20, 2025 and add funds to support the continued rental of chillers until main chillers can be repaired. Delays in manufacturing and shipping have stalled repairs and necessitated continued rental of the chillers.

FUNDING:

Funds are available in account number 001-043-1718-3610.

APPROVALS:

The Facilities Management Division concurs with this recommendation.

REMARKS:

On August 7, 2023, Purchase Order (PO) M111931 was issued to Trane US, Inc. in the amount of $37,088 for the rental of two 120-ton chillers with pump, one 6”x200-foot hose box, two 6” VicTees, and one 48-foot flatbed trailer for August through September 2023, as well as one time fees for freight and installation.

Previous change orders are as follows:

Change Order No. 1: Added rental period from December 2023 through March 2024. Services for the months of October and November were paid as non-PO.  PO increased by $56,776 for a revised total amount of $93,864. This increase was approved under the Procurement Division’s authority.

Change Order No. 2: Extended rental through from April 2024 through July 2024. PO increased by $56,776 for a revised total amount of $150,640. This increase was approved by the Board on April 23, 2024.

Change Order No. 3: Extended rental from August 2024 through September 2024. PO increased by $28,388 for a revised total amount of $179,028. This was approved under the Procurement Division’s authority.

Change Order No. 4: Increased PO by $14,194 for a revised total of $193,222 to correct the quantity for the remainder of the service period ending September 30, 2024. This increase was approved under the Procurement Division’s authority.
