Approval of Amendment No. 3, Contract Y22-1075B Electrical Maintenance, Repair and Replacement (East, West and Downtown Districts), with Heron Electric, Inc., in the amount of $200,000, for a revised estimated contract amount of $620,892.50. PROCUREMENT:

This amendment increases funding to cover vital services required due to historical spending patterns and emergency response needs. Since the start of the contract, there has been an unexpected increase in the number of emergency maintenance and repair requests across the East, West, and Downtown Districts. These additional service demands, including unanticipated electrical failures and system breakdowns, have placed a strain on the original budget.

The expanded scope includes repair and replacement tasks that were not initially anticipated in the original contract estimate, leading to higher costs for labor, parts, and materials.

The requested funding increase will ensure that safety codes and regulatory compliance requirements are met and that necessary compliance and safety improvements are made, without compromising the functionality or safety of the facilities.

FUNDING:

Funding is available in account numbers 0001-043-1713-3810, 0001-043-1715-3810, and 0001-043-1719-3810.

APPROVALS:

The Facilities Management Division concurs with this recommendation.

REMARKS:

On February 21, 2023, the Board authorized award of Invitation for Bids Y22-1075B to Heron Electric, Inc., in the estimated contract total of $400,850.  Previous contract amendments are as follows:

Amendment No. 1: Renewed the contract for the period of April 1, 2024 through March 31, 2025.

Amendment No. 2: Increased the contract amount by $20,042.50, for a revised estimated contract amount of $420,892.50. This increase was approved within Procurement’s authority.
