PROCUREMENT:

This change order adds funds to ensure the continuity of operations needed to maintain all the South Regional Water Plant Facilities grounds at all sites for the period of April 11, 2025 through September 30, 2025 while a procurement process is complete.  The resolicitation is projected to be issued in May.

FUNDING:

Funding is available in account number 4420-038-1324-3810.

APPROVALS:

The Utilities Department concurs with this recommendation.

REMARKS:

On October 18, 2024, Purchase Order M116128 was issued to Aristrocuts Lawn & Garden Services, Inc., in the amount of $51,464 for weekly temporary landscape services to maintain all the South Regional Water Plants Facilities grounds at all sites for the period of October 1, 2024 through December 31, 2024.

Invitation for Bids Y24-1059 was issued to establish a term contract for these services but was canceled due to the department’s concern of the significant cost increases associated with the services outlined in the contract. The department needs additional time to review the scope of work with the goal of evaluating which services are essential and identify areas where they can scale back based on actual usage and ensure that any required licenses for the scope of work are clearly outlined in the new bid specifications.

Extension of current services is necessary to avoid lapse in services for all the South Regional Water Plants Facilities grounds at all sites.

Previous change order is as follows:

Change Order No. 1: Closed lines 1-3 due to incorrect object code and replaced with lines 9-11. Extended the performance period from January 1, 2025 through April 10, 2025, and added funds in the amount of $44,112, for a revised total amount of $95,576.
